Absent today? Make sure the transportation plan changes too

A simple communication routine for school absences, parent pickups, and days when a student will not use the usual bus trip.

A student’s attendance plan and transportation plan are connected, but they may be managed by different people. Calling the school office about an absence does not necessarily update the bus route. A clear routine for exceptions helps families know which office to contact and helps school and transportation teams work from the same information.

Learn the district’s actual notification process

Ask the school or district transportation office how to report a full-day absence, a missed morning ride, or a parent pickup in the afternoon. Find out whether one message reaches both the school and transportation team or whether separate notifications are required.

Save the approved numbers or systems where the adults coordinating the student’s day can find them. Follow the district’s process and deadlines rather than relying on a message to an individual driver. The driver may be operating the vehicle and unable to receive or act on a change.

Specify which part of the day is changing

Be explicit about whether the change affects the morning trip, afternoon trip, or both. A student who arrives with a parent may still need the bus home. A student attending school normally may have an afternoon appointment and leave with an authorized adult.

Include the student information requested by the school and the date of the change. Avoid vague messages such as ‘we do not need the bus’ when only one trip is affected. Ask how to confirm that the change has been recorded.

Keep pickup authorization separate from a casual message

Follow the school’s procedures for authorized adults and dismissal changes. Transportation personnel should not be expected to resolve an unapproved change at the bus door. If a new adult needs to collect the student, settle the authorization with the school in advance.

For students with an individual transportation or support plan, ask the relevant school team whether the proposed change affects agreed assistance or handoff arrangements. Share the necessary information through the school’s approved channels.

Explain the day’s plan in a way the student understands

Tell the student who will meet them and how the day differs from the usual routine, using communication appropriate to their needs. Coordinate that explanation with school staff when helpful. A predictable message is especially useful when several adults are involved.

Normal bus safety routines still apply on days with schedule changes. NHTSA advises waiting until the bus stops and the driver signals before boarding, and cautions against walking behind the bus. Follow the school’s instructions for the student’s specific stop and assistance needs.

Reset the next trip

Before ending the conversation, clarify whether the usual service resumes automatically or whether another notification is needed. After an extended absence, confirm the return date and any relevant changes with the school transportation office.
