Using a temporary wheelchair? Update the transportation plan
A borrowed or replacement chair can change dimensions, controls, accessories, and the information needed for a scheduled trip.

A temporary wheelchair may look similar to the passenger's usual device while differing in important practical ways. It may be a manual chair instead of a power chair, have different dimensions, or include accessories that were not part of the original booking. Tell the transportation office about the change before the trip so the proposed arrangement can be reviewed.
Record which device will actually travel
Confirm the make or identifying description, whether the chair is manual or powered, and any dimensions or weight information the provider requests. Use information from the equipment supplier or manufacturer rather than guessing.
If the usual chair may be repaired or exchanged before travel, choose a deadline for confirming the final device. A reservation based on one chair should not silently become a trip with another.
Discuss accessories and belongings
List cushions, detachable supports, oxygen equipment, bags, or other items that are expected to accompany the passenger. Ask what can be accommodated and how belongings should be prepared. Do not attach items to the chair or transportation equipment without direction.
Keep clinical decisions and device-use instructions with the responsible professionals. Transportation coordination does not replace equipment assessment, care planning, or manufacturer guidance.
Recheck the pickup environment
A temporary chair can move differently through doors, lifts, or tight turns. Ask the passenger and building contact to identify any change in the path to the approved pickup point, then discuss uncertainty with the provider.
If the passenger will transfer into the temporary chair shortly before departure, identify who is responsible for that process. Do not assume the transportation crew will provide unarranged transfer assistance.
- Final wheelchair description confirmed.
- Accessories and additional equipment disclosed.
- Pickup and destination access rechecked.
- Return trip updated for the same device.
Update both directions
Confirm whether the temporary chair will still be used for the return. If the equipment appointment may result in another change, arrange a clear contact process for updating the transportation office.
Keep the revised booking confirmation with the passenger and coordinator. Mark older device notes as superseded so they are not reused on the day of travel.
