Wheelchair transportation is not limited to medical appointments. A community dinner, family celebration, religious gathering, or civic event can require the same careful planning: an accessible vehicle, a workable building route, a precise meeting place, and a return arrangement that matches the event.

Describe the trip and wheelchair accurately

Provide the event address, date, requested arrival, expected departure, passenger contact, and the wheelchair or mobility device that will travel. Report specialized seating, extended foot supports, a power chair, or other equipment that could affect the transportation plan.

If the passenger will use a different chair for the event, tell dispatch before the trip. Information from a prior medical ride should not be assumed to describe the current device or destination.

Ask the venue for the accessible route

Confirm the accessible entrance, drop-off location, doorway, elevator, restroom access, and route to the assigned room or seating area. An event flyer’s main entrance may not be the entrance an occupied wheelchair can use.

Ask who will meet the passenger if venue staff or an event host must provide help inside. Transportation assistance should be discussed with the provider; assistance through the venue should be arranged separately.

Include companions and belongings in the request

Tell dispatch who is requesting to travel with the passenger and whether that person has mobility needs. Ask how companion seating is handled for the proposed service instead of assuming an additional person can board.

Describe coats, a personal bag, mobility-device accessories, or other necessary items. Keep aisles, doors, ramps, lifts, controls, and wheelchair securement areas clear. Large or unexpected items should be discussed before pickup.

Choose a return plan that fits the event

Confirm whether the return is scheduled for a fixed time or requested after the event under the provider’s process. Events may end early or run late, so decide who will communicate a change and where the passenger will wait.

The return pickup point may differ from the arrival entrance because of traffic control, locked doors, or venue operations. Verify the evening exit and keep the responsible contact reachable.
